How to import a PDF bank statement into Xero

Xero cannot read a PDF statement directly, so the PDF has to become a CSV first. Here are the steps. No signup, and the first statement is free.

Steps

  1. Upload the PDF on our converter. It must be a real PDF with posted transaction rows, not a photo.
  2. Check the on-screen result: the running balance is tested row by row and the total is compared to the statement's opening and closing balances.
  3. Download the Xero CSV. Columns follow Xero's documented template: date, amount, payee, description, reference.
  4. In Xero, open your bank account, choose Import a Statement, and upload the file.
  5. Map the columns if Xero asks, then review the rows and reconcile as usual.

Example output (synthetic data, for illustration):

date,description,amount,balance
2026-01-03,Coffee shop,-3.20,996.80
2026-01-04,Salary,1500.00,2496.80
2026-01-06,Water bill,-28.00,2468.80

Before you reconcile

We have not yet tested a live import in every Xero setup, so import a small file first and check the rows. Dates in the Xero layout are DD/MM/YYYY. Amounts are signed, with money out as negative.

Other formats

You can also download plain CSV, an Excel file, or layouts for QuickBooks and FreeAgent.
